Full-time Executive Assistant required in Fulham, London to support the Vice Principal of a single-family office. Salary £65,000 – £75,000 gross per annum. Live-out. Start 1st of September.
A highly organised UHNW family office is seeking an exceptional Executive Assistant to provide high-level administrative and operational support to the Vice Principal. This role is integral to the smooth running of the family’s operations and requires an individual who is highly organised, proactive, discreet, and able to manage multiple priorities with precision.
Working primarily alongside the Vice Principal, you will be responsible for coordinating a wide range of administrative, operational, and project-based activities that support the family office and household operations. While the role supports the family’s interests, there will be little to no direct interaction with the principals. Instead, the position serves as a central point of coordination between the Vice Principal, household staff, external vendors, and professional advisers.
Duties will include complex calendar management, coordinating meetings and appointments, maintaining travel and residence records, monitoring passport and visa requirements, and supporting travel-related administration. You will assist with staff scheduling and administration, including onboarding and offboarding, maintaining employee records, preparing meeting notes, distributing action items, and following up to ensure completion.
Additional responsibilities include maintaining household records, directories, and operational documentation, coordinating vendors and service providers, managing mail and courier shipments, and assisting with financial administration, including expense reconciliation, utility tracking, invoice processing, and vendor payment verification.
The role will also involve maintaining project trackers, monitoring deadlines, coordinating follow-up actions, and ensuring projects continue to progress efficiently. Success in this role will come from anticipating needs, identifying opportunities to improve processes, and taking ownership of tasks from start to finish.
The ideal candidate will be exceptionally organised, detail-oriented, and capable of working independently with minimal supervision. You will possess outstanding communication skills, excellent judgement, and a calm, solutions-focused approach while managing competing priorities. Absolute discretion and professionalism are essential, as is the ability to handle highly confidential information with integrity.
Previous experience supporting a senior executive, family office, UHNW private household, or similarly fast-paced environment is strongly preferred. Candidates should have a proven ability to manage complex administration, coordinate multiple workstreams simultaneously, and operate with a high degree of accuracy and initiative.
The role is hybrid, with a combination of working from home and working from the office. During the initial training and onboarding period, you will be expected to spend more time in the office to ensure you are fully supported while learning the role. Once established, the role will typically be office-based on Tuesdays and Wednesdays, with the remaining days worked remotely, although flexibility is required to meet business needs.
The working hours are Monday to Friday, 8:00 am to 6:00 pm, and a flexible approach to working hours is expected when required.
This is a self-employed position however the client would consider offering the role as an employed position for the right candidate.
