The Role
Full time Assistant Head of House required for private school in Moscow, $3334 gross per month, Start academic year 2023/2024.
A returning client, a private boarding school in Moscow is seeking an Assistant Head of House to support their boarders.
As an Assistant Head of House you will provide pastoral care to the young boarders and assist in the leadership of the day to day management of the health, happiness and routines of boarders under the direction of their Head of House.
Working with students, staff, and parents at the school you will:
• Provide direct support to the Head of House in helping manage aspects of boarders’ health and welfare, adhering to relevant school policies.
• Support the provision of a secure and comfortable environment within the boarding house to ensure the health and safety of all students.
• Develop a friendly and professional relationship with boarders and have an interest in all aspects of their school life, without showing any discrimination or favouritism.
• Communicate expectations from the Code of Conduct and Little Boarding Booklet to boarders.
• Report any discipline issues to their Head of House and Boarding Coordinators if necessary, and help manage boarder sanctions in-house.
• Report any health or welfare issues to the Head of House and Boarding Coordinators.
• Be available on campus during on-duty and on-call hours for boarders to communicate, ensuring any safeguarding disclosures are immediately passed to the duty Designated Safeguarding.
• Assist the Head of House with daily management of duty Graduate Boarding Staff and assigning tasks.
• Encourage the use of English-first in the boarding houses among boarders and staff.
• Sleep in the boarding house when on-call and informing their Head of House when offsite.
• Participate fully in the life of the boarding house, including with decorations, acquisitions, house inventories, weekend, seasonal and public holiday activities.
• With help from Boarding Coordinators, ensure tidiness and hygiene of boarders’ dorms are checked and monitored daily, followed-up to remedy, and any issues are reported to the Head of House.
• Ensure daily routines for boarders are maintained, particularly Morning wake-ups, mealtimes, Prep and study hours, and bedtimes.
• Ensure daily night registers and weekly Sunday registers are completed, confirming absences with parents, and checking for any discrepancies against expected numbers.
• Complete the daily pastoral handover and task diary, weekly Deputy Head of House handover before going off-duty.
• Support the Head of House with appropriate record keeping, including Independent Student Records (ISR), weekly RAG report, and parental log.
• Ensure weekly linen changes are made by all students and that any health and safety issues related to the boarding house are immediately reported to the Operations team.
• Accompany boarders to the on-campus Medical Centre.
• When necessary, communicate with Medical Centre, Boarding Psychologist, and PSY team.
• Coordinate with academic staff, student development, and other administrative support departments as appropriate.
• Communicate with parents in consultation with Head of House and Boarding Coordinators.
• Support the Physical Education department and Head of House regarding attendance at compulsory sports and Komanda competitions.
• Engages in school activities and social events to support boarders.
• Attend Komanda assemblies and performs duties such as registration, supervision and following up with absences, and when possible, attend competitions to support Komanda teams.
• Be available to escort and supervise external personnel through the boarding house.
• Lead the opening and closing of boarding houses at the start and end of each semester under the direction of the Head of House.
• Contribute to the end of semester clearing up, cleaning and dorm checks, and managing of storages and wardrobes, reporting any issues to the Operations team.
• Be resident onsite the evening before term commences and evening of the end of term if required by the Head of House.
• Attend and contribute at whole boarding staff training sessions.
• Attend and contribute at house team meetings and trainings to ensure good staff knowledge of policies and procedures and that effective communication is maintained.
• Complete file notes and collect statement forms from boarders regarding behavioral issues and follow up with the Head of House to remedy the situation as appropriate.
• Manage storage of confiscated items and completion of necessary paperwork.
• Assist Heads of House to produce pastoral reports twice a year.
• Collect, clarify with parents and hosts, and authorise students’ weekend and vacation.
• Communicate parcel and delivery arrangements with boarders.
• Assist Head of House with leading weekly house meetings on a Monday evening.
• Contribute suggestions and advise on boarder rooming requests for twice yearly dorm allocations.
• Help collate Star Boarder nominations.
• Help to manage boarders’ behaviour and registers during fire drills.
• Support boarders’ leadership and community initiatives.
• Contribute to the induction of new boarders and new boarding staff.
• Lead the rewards procedure, along with the Head of House, to promote positive community spirit.
• Any other reasonable duties as assigned by Head of House, Boarding Coordinators, and Senior Vice-Principal.
The ideal candidate will be a conscientious, diligent, and a supportive professional who is passionate about the wellbeing of students. Relevant qualifications and previous experience in a similar role with young people is required. Candidates should have a sound knowledge of national and international boarding standards and up-to-date child protection and safeguarding knowledge. First Aid/Coaching/mentoring or counselling experience is desirable and IT skills are required – Yandex 360 software and Word, Excel and PowerPoint.
The role entails a high level of working within and as part of a shift system.
The role is offered as a 2-year contract (with the possibility of prolongation) with a monthly salary of $3334 USD before tax.
