An international, high-performing Family Office based in London is seeking a bilingual (English & French speaking) Executive Business Assistant to support the Ultimate Beneficial Owner (UBO). This is a hybrid role offering high visibility, requiring a structured, flexible, and highly professional candidate with a discreet, service-minded approach.
This position will suit someone confident in fast-paced environments who can manage high-level coordination, calendar scheduling, and communication with key stakeholders across international time zones.
As Executive Business Assistant, you will:
– Manage the UBO’s business and personal calendars across multiple time zones using advanced Google Calendar features.
– Anticipate and resolve scheduling conflicts while maintaining seamless coordination across multiple platforms.
– Maintain a structured CRM database of key contacts (investors, board members, business partners), tracking follow-ups, birthdays, and strategic interactions.
– Draft correspondence and communications in French and English on behalf of the UBO.
– Liaise with international stakeholders, internal teams, and personal assistants to coordinate efforts and ensure consistent messaging and aligned schedules.
– Prepare concise meeting briefings, summaries, and follow-ups.
– Plan and coordinate business meetings and events, including investor dinners, presentations, and partner off-sites – handling venue bookings, guest lists, agendas, and logistics.
– Ensure all meetings and events are flawlessly executed and meet the UBO’s expectations.
– Work across Google Workspace, Notion, CRM platforms, Slack, WhatsApp, and other tools to manage documentation, communications, and tracking.
The ideal candidate will have 4+ years of experience as an EA/PA in a fast-paced, high-discretion environment, have fluency in English and French (spoken and written). They will possess exceptional organizational and coordination skills, with a strong attention to detail, and be confident and professional in both formal and informal communication on behalf of a senior executive. Be proactive, discreet, and tech-savvy, with the ability to manage ambiguity, while also possessing strong interpersonal skills and a diplomatic, service-focused mindset. The ability to speak Russian is an advantage.
A background in a Family Office, Private Investment, Legal, or UHNW environment with experience organising high-level business events or meetings is preferred.
The working schedule will be working on a rota, 1-2 weeks on/off (24/7 cover). International travel is required
This is a live-out position with no accommodation provided. The role is Hybrid, working from home and the office.
Preferences will be given to candidates with a UK passport, UK long-term permit, or citizenship.

Salary £6000 – £9000 gross per month

Requirements:
Fluent in English & French
4+ years’ experience as an EA/PA
Strong communication, coordination, and interpersonal skills
The ability to speak Russian is an advantage
